Privacy Policy


This privacy policy explains how AsPro collects and uses data about you.

What information do we collect about you?

  • Full name and any documented changes
  • Current address and five years of address      history
  • Email address
  • Telephone number 
  • Date of birth
  • National insurance number
  • Nationality and right to work status
  • Marital status
  • Next of kin or emergency contact: name,      address and telephone number
  • Copies of picture ID
  • Copies of address confirmation
  • Credit check (this check does not affect your      ability to access financial services, it is part of the identity check)
  • Information on criminal convictions
  • Previous employment history going back 5 years      (if not applicable, 5 years education or social security history) 
  • Bank account details (for wages)

We collect your data via our application form and the supporting documents we request from you. We then verify some of the data you have provided and record the results. If you supply a document which contains identifying information about another person, we will blank it out.

Why do we collect information about you?

The lawful basis we apply for processing your data is by consent - this means that you have given us permission to process your data for a specific purpose. AsPro is legally obliged to abide by the regulations of our industry. The Security Industry is regulated by the BSI Group, also known as the British Standards Institution, which is the national standards body of the United Kingdom. The British Standard sets the code of practice for the security screening of staff in an environment where the safety of people, goods or property is essential, known as BS7858. 

When we have completed your screening we are required to store your data for the duration of your employment. This is because we are audited annually and we have to prove that we continue to meet the British Standards. We are required by HMRC to keep information relating to your wages (which includes identity information) for five years. We also use your data in day-to-day operations, such as scheduling, and in the processing of the wages.


Do we share your information?

We may share your data in the following examples;

  • If you have given written authorisation, we      will provide your employment dates to a potential employer.
  • If you are subject to TUPE we will share your      personnel information to the new employer in line with Employment Law.
  • If we are compelled by a government body, such      as the Police or Department for Work and Pensions etc.
  • If you are a Key Holder we will share your      data with a third party in connection with the intruder alarms and CCTV      only.
  • Our Human Resources supplier.
  • Our Pension provider.

We never share your data with third parties for marketing purposes.

Do we store information we collect about you?

We will continue to store the data we have collected about you for five years. At the end of your employment, if you decide that you no longer want us to store your data you may request that we delete it or ‘forget’ you. The only information we would be unable to delete is that required by HMRC concerning wage information. Your data is stored both electronically and in hard copy. AsPro have taken all possible steps to ensure your data is protected. Although our security is rigorous, if there is ever a data breach we have in place a Data Breach Policy which includes informing you at the earliest opportunity if your data was impacted.

What are my rights?

You have the right to be confident that AsPro handling your information responsibly and in line with good practice. Good practice means:

  • Keeping your information safe
  • Holding accurate information
  • Giving you access to the information we hold      if requested
  • Not keeping information about you for longer      than necessary
  • We are only collecting information for the      uses we have stated

You have the right to request a copy of the information that we hold about you. We may make a small charge for this service.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
